# Setting Up Team Accounts and Virtual Assistant Access

> Add virtual assistants and team members to Seller Aim with sub-accounts that give them the tools they need without access to your Amazon Seller Central.

One of the first things growing Amazon sellers do is hire virtual assistants — for product research, restriction checks, sourcing, catalog work, or all of the above. The challenge is always the same: your VAs need real tools to do real work, but handing over your Amazon Seller Central credentials is a serious security risk. Seller Aim solves this cleanly with sub-accounts. Each team member gets their own dedicated login to Seller Aim — with access to everything they need to research products and check restrictions — and your Seller Central account stays locked down. Your VAs never see it, never touch it, and never need it.

## How Sub-Accounts Work

Seller Aim sub-accounts are separate logins linked to your main account. They share your subscription's features and data workspace, but each user authenticates independently.

Here is what that means in practice:

* **Each team member logs in with their own email and password.** There are no shared credentials, and each session is tracked individually.
* **Sub-account users have full access to the Seller Aim browser extension, web app, and restriction checker.** They can research products, run profit calculations, and check gate status just as your main account can.
* **Your Amazon Seller Central is never exposed.** Seller Aim connects to Amazon on your behalf in the background — your sub-account users benefit from that connection without ever seeing or handling your Amazon login.
* **All research activity is shared with the main account in real time.** Notes, saved products, tags, and product records created by any team member appear instantly in the shared workspace, so nothing gets siloed in an individual's account.

## Creating a Sub-Account

Adding a new team member takes less than two minutes. Here is the full setup process:

    Log in to the Seller Aim web app with your main account credentials and click your profile icon in the top-right corner, then select **Account Settings**.

    In the left-hand settings menu, select **Team Members**. You will see a list of all current sub-accounts and any pending invitations.

  <Step title="Enter the team member's email address">
    Click **Invite Team Member** and enter the email address your VA or team member uses. Make sure this is an address they actively monitor — the invitation will be sent there.

  <Step title="Choose their access level">
    Select the appropriate access level for this team member. Standard access covers product research, restriction checks, notes, and exports. Review the available permission tiers and choose the one that matches what you want them to be able to do.

  <Step title="They receive an invitation email and set their own password">
    Seller Aim sends an invitation email to the address you entered. The team member clicks the link, creates their own password, and their account is immediately active. They are ready to use the browser extension and web app right away.

## What Sub-Account Users Can Do

Sub-account users are equipped to handle the full day-to-day product research workflow without needing anything from your Seller Central account.

* **Run product lookups and profit calculations** — using the browser extension on retail sites and Amazon, or by searching directly in the web app
* **Check restriction status** — single ASIN lookups instantly, or bulk checks for up to 20,000 ASINs at once
* **View all product flags** — IP alerts, hazmat, meltable, and fragile indicators are visible to sub-account users just as they are to the main account
* **Add notes and tags** — all notes and custom tags a VA creates are immediately visible to the main account holder and other team members in the shared workspace
* **Save products to the shared sourcing list** — liked products, passed products, and saved research all land in the shared workspace
* **Export to Google Sheets** — team members can export their research directly, saving round-trips where a VA sends you a spreadsheet and you re-enter the data elsewhere

## What Sub-Account Users Cannot Do

Sub-accounts are intentionally scoped to protect your business and your account security.

* **Your Amazon Seller Central is never accessible to sub-account users.** They cannot view, modify, or interact with your Seller Central in any way — not your listings, your orders, your account health, or your login credentials.
* **Billing and subscription settings are off-limits.** Sub-account users cannot view your billing information, change your plan, add seats, or cancel your subscription.
* **Individual settings are private.** Each team member's personal account preferences (notification settings, extension preferences) are their own — other team members, including the main account holder, cannot modify them.

## Managing Your Team

As your VA roster changes, Seller Aim gives you the tools to stay in control of who has access and how the account is being used.

**View team member activity.** From the Team Members panel in account settings, you can see each sub-account's recent lookup activity, including the number of product checks run and restriction lookups consumed. This helps you identify who is actively working and whether usage is being distributed as expected.

**Remove or deactivate a sub-account.** If a VA's contract ends or you want to temporarily pause their access, you can deactivate their account from the Team Members panel instantly. Deactivated accounts cannot log in or use any Seller Aim features, but their data is preserved.

**Understand shared usage limits.** Product lookups, restriction checks, and other metered features are pooled across your entire account — main account and all sub-accounts combined. If your plan includes 5,000 bulk restriction checks per month, that total is shared. Monitor usage from the main account dashboard to avoid running out mid-month during a heavy sourcing period.

  All product records, saved searches, notes, and tags created by a sub-account user are preserved in the shared workspace even if that VA account is later deactivated. You will never lose research data when team members come and go.
